Sunstate Equipment

Sunstate Equipment rents construction equipment to contractors across the United States, and publishes the order and contract detail behind every unit on hire. Clue reads that feed directly, so a Sunstate machine lands in your fleet with its contract number, its line item and its rate already attached. You see what the rental costs while it is running.

Power Up with Sunstate Equipment

Connect Sunstate Equipment to Clue and every order arrives with the detail that decides the invoice. Contract number, line item, product class and rate all come from Sunstate. Checking a bill against the machines you actually had becomes a short job instead of an afternoon.

Sunstate Equipment Integration Features

  • See the contract number and line item behind every Sunstate unit, so each rental traces back to its order.
  • Read rental rates from Sunstate directly, and know the cost of a hire before the invoice arrives.
  • Track the expected return date on each line, and catch rentals that run past it.
  • Use Sunstate product class codes to compare what you rent against what you already own.
  • Reconcile vendor invoices line by line against the units recorded on site.
  • Keep a rental cost history sourced from Sunstate's own records, ready for finance to audit.

How the Sunstate Equipment integration works

Clue reads Sunstate Equipment's public API directly, pulling the orders behind every unit you have on hire. The connection is read only and refreshes on a schedule, so there is nothing to export and no portal to keep open.

Sunstate publishes rentals as structured orders with line items, which is what makes the detail useful. Each machine traces back to its contract rather than to a row somebody typed into a spreadsheet.

What syncs today

  • Rental orders. Every order becomes rental lines in Clue, carrying the Sunstate contract number so each unit traces back to its paperwork.
  • Line items and rates. The rate on each line comes from Sunstate, so the cost of a hire is visible while it is running.
  • Equipment registration. Serial and VIN detail arrive with the unit, so Sunstate machines match equipment already in Clue instead of creating duplicates.
  • Product class. Sunstate cat class codes come across, so you can compare what you rent against what you already own.
  • Expected return date. The projected end on each line drives past due flagging.

What this changes day to day

  • Checking a Sunstate invoice becomes a line by line match against the units recorded on site.
  • Rental cost history is sourced from Sunstate's own records, so finance can audit it.
  • A hire that runs past its date is visible before the next invoice rather than after.
  • Cat class makes the rent versus own question answerable with numbers.
  • Sunstate is registered as a vendor once, then every new order attaches to it on its own.
