EquipmentShare

EquipmentShare rents construction equipment and builds the technology that tracks it. Its rental feed lists every unit a customer currently has on hire, with the rate and the expected return date attached. Clue reads that feed, so you can see what an EquipmentShare rental is costing while it is still running.

Return requests in Clue with off-rent dates and pickup planning

Power Up with EquipmentShare

Connect your EquipmentShare rental account to Clue and every unit on hire arrives with the numbers behind it. Rate, PO and expected return date come from EquipmentShare. You see the cost while the rental is running, and you catch the ones that quietly rolled into another month.

EquipmentShare Integration Features

  • See the daily, weekly and monthly rate on every EquipmentShare unit currently on hire.
  • Track the expected return date on each unit and flag the hires that run past it.
  • Carry the PO across from EquipmentShare so each rental ties back to the job that ordered it.
  • Watch rolling rentals that have no fixed end date, and decide when they should stop.
  • Post EquipmentShare rental cost to the project the machine is working.
  • Check vendor invoices against the units EquipmentShare itself reported on hire.

How the EquipmentShare integration works

Clue reads EquipmentShare's developer API, which publishes a live list of every unit a customer currently has on hire. The connection is read only and refreshes on a schedule.

The important detail is what that list contains: only what is on hire right now. So the end of a rental is worked out from a unit no longer appearing, confirmed across two consecutive complete runs before anything is closed. A return records itself, and a single missed run never ends a rental by accident.

What syncs today

  • Units on hire. Every unit EquipmentShare reports becomes a rental line in Clue, matched to equipment you already have so one machine stays one record.
  • Rates. Daily, weekly and monthly rates arrive with the unit, so the cost is visible while the rental runs.
  • PO number. Each rental ties back to the job that ordered it.
  • Expected return date. Including rolling rentals that have no fixed end, which are the ones most likely to drift.
  • Make and model. So a rented machine is recorded like an owned one rather than as a bare line.

What this changes day to day

  • Returns close themselves. Nobody has to remember to tell the system a machine went back.
  • Rolling rentals stay visible instead of sitting open indefinitely.
  • You see what a hire is costing while it is running, not when the invoice arrives.
  • Invoices can be checked against the units EquipmentShare itself reported on hire.
  • Rental cost posts to the project the machine is working.
