What is this?
When your United Rentals account is connected, each rental line you open with United Rentals comes into Clue. You do not type it in.
Each line brings the PO, the contract number, the start date, the expected return date, the day, week and month rates, and the make, model and serial number. Machines with United Rentals telematics also send location and engine hours.
Who's this for?
- Equipment managers, see every United Rentals machine without typing it in.
- Rental coordinators, check new lines and put them on rent in two clicks.
- Accounting, see the rates and the PO for each machine.
How to use it
Step 1: Filter to United Rentals
Go to Rentals and click Filters. Click Vendor, search for United Rentals, and select it. Close the filter.
Step 2: Review the new lines
The list shows each United Rentals line with its PO, machine type, make, model and serial number. The cards at the top count the lines that are on rent and the lines in draft.
Step 3: Open a rental
Click a line to open it. The PO, contract number, vendor and dates come from United Rentals. Add a project or a contact person if you need them.
Step 4: Check the rates
Click Next. The Rental Assets step shows the machine, its day, week and month rates, and the rental period.
Step 5: Put a draft on rent
Click Save. A draft line moves to On Rent. To keep it as a draft, open the arrow next to Save and choose Save as Draft.
The full details
- Works on: Web app, Rentals tab.
- Who connects it: your Clue team. Give them your United Rentals user name, password and account number for the United Rentals data connection.
- How often: Clue checks United Rentals every hour.
- New lines: they arrive in one of two ways, set for your company by your Clue team. Either each line arrives as Draft and you put it on rent, or the status follows United Rentals.
- When the status follows United Rentals: On Rent stays On Rent. Pending Due shows as Upcoming Due. Past Due shows as Past Due. Scheduled Pick up shows as Return Requested.
- Your changes win: if you set a rental to Off Rent, Clue does not put it back on rent. Clue also keeps your project, expected return date and notes.
- Returns: when United Rentals closes the contract, Clue deactivates the machine.
Tips
- Check the Draft card every morning. New United Rentals lines wait there until you put them on rent.
- Add the project when you put a line on rent. Your project costs then include the rental.
- Ask your Clue team which status option your company uses. The answer tells you if you must put new lines on rent yourself.
