What is this?
When your Sunbelt Rentals account is connected, the machines you have on rent with Sunbelt come into Clue. Each one shows its location, engine hours, idle hours and fuel.
Sunbelt does not send the PO, the dates or the rates. For each new machine, Clue adds a draft rental. You complete it once, and the machine is on rent in Clue.
Who's this for?
- Equipment managers, see where each Sunbelt machine is and how much it runs.
- Rental coordinators, complete each new Sunbelt rental in one step.
- Superintendents, check that the rented machines on their site are working.
How to use it
Step 1: Find the new machine
Go to Rentals. Type the Sunbelt equipment number in Search. A new Sunbelt machine shows as Draft, with no PO.
Step 2: Add the PO, vendor and start date
Click the line to open it. Enter the PO Number, choose Sunbelt Rentals as the vendor, and pick the Start Date. Add the projected end date and the project if you know them.
Step 3: Check the machine
Click Next. The Rental Assets step shows the make, model and serial number that Sunbelt sent.
Step 4: Put it on rent
Click Save. The rental moves to On Rent with your PO.
Step 5: See location and hours
Go to Assets and search for the Sunbelt equipment number. Open the machine to see its engine hours and its last GPS location.
The full details
- Works on: Web app, Rentals and Assets.
- Who connects it: your Clue team. Give them the Client ID and Client Secret that Sunbelt issues for its data connection, and your Sunbelt account number.
- How often: Clue checks Sunbelt every hour.
- What Sunbelt sends: location, engine hours, idle hours, fuel used, fuel level, DEF level, odometer and engine on or off.
- What Sunbelt does not send: the PO, rental dates, rates and costs. You add these when you complete the draft.
- Draft rentals: Clue adds one draft for each new machine. After you complete it, Clue does not change it again.
- Returns: the Sunbelt connection does not end a rental when you return the machine. Set the rental to Off Rent when you return it.
Tips
- Check the Draft card often. Each new Sunbelt machine waits there until you complete it.
- Keep your Sunbelt PO handy when you complete a draft. The PO is what ties the machine to your invoice.
- Set returned machines to Off Rent the same day. The machine then stops showing as on rent.
