Break down work orders into specific tasks to track completion progress, ensure all work is done, and provide clear instructions for mechanics.

Understanding Tasks

Tasks are individual action items within a work order. They help:

  • Define the specific work to be performed
  • Track completion of each step
  • Ensure nothing is missed
  • Document what was actually done

Adding a Task

  1. Open the Work Order detail view
  2. Navigate to the Tasks tab
  3. Click Add Task
  4. Enter task details:
    • Task Name - Brief description (e.g., "Replace air filter")
    • Description - Additional details or instructions
    • Estimated Time - How long the task should take
  5. Click Save

Task Checklist

Tasks appear as a checklist that mechanics can work through:

  • Unchecked - Task not yet started
  • In Progress - Work underway
  • Completed - Task finished (checked)

Completing Tasks

Mechanics mark tasks complete as they work:

  1. Open the work order (web or mobile app)
  2. Go to the Tasks section
  3. Check off each task as it's completed
  4. Add notes if needed

Task Templates

For common procedures, use task templates:

  • PM service tasks are often pre-populated from PM plans
  • Standard repairs can have default task lists
  • Saves time and ensures consistency

Tips

  • Keep task names short but descriptive
  • Add detailed instructions in the description field
  • Group related tasks together
  • Use tasks to capture the scope of work before starting
  • Review completed tasks to verify all work was done
