Vista to Clue: What Data Syncs In

What is this?

Clue connects directly to your Viewpoint Vista database and pulls in the data your field teams need. Equipment, projects, phases, parts inventory, vendors. It runs automatically every hour. No manual imports, no CSV files, no double entry.

This article covers everything that flows from Vista into Clue.

Equipment

Clue imports your full equipment list from Vista's EMEM table. Every hour, the sync checks for new assets, updates to existing ones, and deactivated equipment.

What comes over:

  • Core fields: Equipment number, VIN, Make, Model, Year, Status, Category
  • Organization: EMCo (company), Department, Shop
  • Ownership: Owned vs. rented status
  • Notes: Equipment notes and descriptions
  • User Defined Fields: Any custom Vista UDFs your company has added (like SyncClueYN or clean equipment numbers)

If an asset exists in Vista but not in Clue, it gets created. If it already exists, the fields update. If it is removed from Vista, Clue can optionally deactivate it automatically.

Projects and Phases

Projects come from Vista's JCJM table. Phases come from JCPH.

  • Projects: Project number, description, status, class, address, city, state, zip, division
  • Phases: Phase number, description. Linked to their parent project.

Phases that disappear from Vista get deactivated in Clue automatically. Projects sync with their full address so dispatchers can see them on the map.

Parts and Inventory

Parts catalog data comes from Vista's HQMT and HQMC tables. Stock levels come from HQPL.

  • Parts catalog: Material number, description, unit of measure, cost, category, active/stocked flags
  • Stock by location: Quantity on hand per shop/warehouse

Parts sync runs once daily (at 1 AM) to avoid heavy database load during business hours.

Vendors

Vendor records come from Vista's APVM table. Name, vendor number, and country. Used for linking vendors to equipment warranty records and purchase orders.

Equipment Warranty

Warranty information comes from Vista's EQMW table, linked to the equipment record and vendor. Clue tracks warranty coverage so your team knows what is still under warranty before ordering parts or scheduling repairs.

Companies

For multi-company Vista setups, Clue imports company records from HQCO. This supports organizations that operate multiple entities (EMCo) within one Vista database.

The full details

  • Sync frequency: Every hour (equipment, projects, phases). Parts: daily at 1 AM.
  • Connection: Direct database connection via secure SSH tunnel. No middleware.
  • Config: Controlled per organization via global parameters (vista_import_equipment, vista_import_parts, etc.)
  • Selective sync: Use the SyncClueYN UDF in Vista to control which assets sync to Clue
  • Auto-deactivation: Optional. Assets removed from Vista can be auto-deactivated in Clue.

Tips

  • Check your SyncClueYN field in Vista. If an asset is not showing up in Clue, this field might be set to "N" or missing.
  • Parts sync runs at 1 AM. New parts added to Vista during the day will appear in Clue the next morning.
  • Project addresses matter. Clue uses the address from Vista to place projects on the map. If a project has no location in Clue, check the address fields in JCJM.
